Welco privacy policy
This policy explains what information Welco collects, why we collect it, who we share it with, where we store it and how long we keep it. Welco is operated by Monocubed, Inc. We do not sell personal information, and we never share SMS opt-in data for marketing.
Who we are
Welco is an alert texting service operated by Monocubed, Inc, 651 North Broad Street, Suite 206, Middletown, Delaware 19709, United States. In this policy, "we", "us" and "our" mean Monocubed, Inc.
This policy covers the welco.ai website, the Welco service and the Welco Alerts text program. For privacy questions, email hello@welco.ai.
Welco carries system alerts to the staff who look after those systems. It is never used for spam, marketing or texts to the public.
Phone numbers and SMS consent
SMS opt-in and phone numbers collected for SMS purposes will not be shared with any third party or affiliates for marketing or promotional purposes.
We use those phone numbers only to send the alerts the person confirmed, to handle replies such as YES, STOP and HELP, and to keep records of their consent. How opt-in works is described on our SMS compliance page.
What we collect
We collect only what we need to run the service and keep it safe.
Account and business details
- Your name, work email address and phone number.
- Your business name, address, website and the details we ask for to verify the business.
- Login and account settings, such as your approved senders and alert rules.
Recipient details
- The names and mobile numbers that staff enter on their own join page when a business invites them to receive alerts.
- Their YES, STOP and HELP replies, with the date and time, as a record of consent.
Alert content and message records
- Alert emails sent to your Welco address, including the sender, subject, body and any attachments.
- The texts we create from them, replies to those texts, and delivery results such as delivered, undelivered or opted out.
- Usage records, such as how many texts each alert used.
Billing details
- Your plan, invoices and payment history.
- The card you give at sign-up. We use it to verify your business and to charge for a plan only after you approve one.
Website and contact details
- Messages you send us through the contact form or by email.
- Details you send through the forms on welco.ai, such as the sign-up and contact forms, are stored on Welco's own server.
- Demo calls are booked through Calendly. Calendly receives the details you enter on its booking page, and its own privacy policy applies to them.
- Basic technical data when you visit welco.ai, such as your IP address, browser type and the pages you view. We may use cookies to keep the site working and to understand how it is used.
How we use information
- To provide Welco: receive alert emails, turn them into texts and deliver them to confirmed phones.
- To verify businesses before they can send, and to stop spam, fraud and misuse.
- To handle opt-ins and opt-outs and keep records that show each person agreed.
- To bill you, answer support questions and send you notices about your account.
- To keep the service secure, fix problems and improve how it works.
- To meet legal duties and respond to lawful requests.
How long we keep information
We keep your account data, settings and alert history for as long as your subscription is active.
After you cancel, we keep that data for 3 months, so you can come back or ask for a copy. Then we delete it.
You can ask us for a copy of your data at any time, and ask us to delete it sooner, by emailing hello@welco.ai.
Voicemail, photo and PDF links in texts last 7 days by default, or up to 30 days if the account sets it. After that, the link stops working and the file is deleted.
Records the law requires us to keep longer
Some records stay after a deletion request, because the law requires them. We keep only what is needed.
- Consent and opt-out records are kept for 4 years: the phone number, the date, and whether the person replied YES or STOP. They prove each person agreed, and they make sure we never text someone who opted out. Four years matches the time limit for complaints under the US Telephone Consumer Protection Act.
- Invoices and payment records are kept for 7 years, to meet tax record-keeping rules.
Backups
Deleted data is removed from our backups within 30 days.
How we protect information
Files from alerts are kept in private storage and reached only through their link page, over HTTPS. Only senders a business approves can turn an email into a text. Access to customer data inside our team is limited to people who need it to run and support the service.
No system is perfectly secure, so we can't promise that information will never be accessed without permission. Our security page explains these protections in plain English.
Your choices and rights
- Stop texts at any time by replying STOP. Reply HELP for help.
- Ask us for a copy of your information, or ask us to correct or delete it, by emailing hello@welco.ai. We will confirm who you are before we act.
- You can also ask the business that invited you to remove you from its alerts.
- Depending on where you live, such as Canada (including Quebec), California, the UK or the European Union, you may have more rights under local law. We will not treat you differently for using them.
Where we process information
We are based in the United States, and we process and store information there. If you receive alerts in Canada, the UK or the Netherlands, your information is processed in the United States.
A note for Canadian businesses
Under PIPEDA, a Canadian business may use a service provider outside Canada, but it stays responsible for the personal information it hands over. It should also be open with its staff that the information is processed abroad.
In Quebec, Law 25 asks for a privacy impact assessment before personal information leaves the province. Staff phone numbers stored with Welco in the United States count.
This is general information, not legal advice. If you need details of what Welco stores and where, for your own assessment, email hello@welco.ai.
Children
Welco is a business service and is not meant for children. We do not knowingly collect information from anyone under 16. If you think we have, email us and we will delete it.
Changes to this policy
We may update this policy as Welco changes. The date at the top of this page shows when it last changed. If we make a big change, we will tell account owners by email before it takes effect. Our terms of service and SMS terms explain the rest of how Welco works.
