About the district and its tech urgency line

The district has several schools and a small technology team. Principals, office staff and teachers arrive early and stay late. That's when a projector, a phone line or a building's network tends to fail.

The team set up a tech urgency line for those hours. Staff call it, describe the problem and expect someone to act before the first bell.

The urgency line before and after Welco

The phones, the number and the greeting stayed. Only the path from the mailbox to a person changed.

A notice in the help desk inbox

  • The district's phones run on Cisco, with Cisco Unity Connection handling voicemail. The urgency mailbox sent a short email notice to the help desk inbox.
  • That notice said a message was waiting, and nothing more.
  • Hearing it meant dialing into voicemail, entering a PIN and finding the message. Early in the morning, nobody was watching the inbox.
  • A principal's 6:30 AM call might not be heard until the help desk opened, after classes had started.

A text with the recording

  • Unity Connection relays each urgent message, audio included, to the district's Welco address.
  • Before the desk opens, after it closes and on weekends, the message becomes a text. In the day, the desk answers the line as before.
  • The tech taps the link and hears the message in the browser, then calls back.
  • The link lasts 7 days by default, and the team can set it to last up to 30.

How the district sent urgency line voicemail to Welco

The district kept its Cisco phones, its number and its greeting. The changes were in voicemail email and in Welco.

  1. Relay the voicemail, with audio

    In Cisco Unity Connection, the urgency mailbox was set to accept and relay each message to the district's Welco address. The recording travels with it. The Cisco Unity Connection guide shows the menus.

  2. Approve the sender

    The Cisco server's sending address was added to the approved sender list. No other mailbox can text the technicians.

  3. Text outside help desk hours

    A time rule sends texts before the help desk opens, after it closes and on weekends. During the day, the desk handles the line as before.

  4. A technician and a backup

    Two phones are on the rule: the technician on call and the team lead. Both get the text, each with their own link to the message.

Frequently asked questions

Did school staff have to learn a new number or app?

No. Principals and teachers call the same number and hear the same greeting. The technician needs no app either, because the text holds a link that plays the message in the browser.

How long can the technician play the voicemail from the link?

Seven days by default, and the district can set it to last up to 30. The original message stays in Cisco Unity Connection, so the help desk can still find it later.

What happens to urgency line calls during school hours?

The help desk answers the line as before. A time rule in Welco texts messages only before the desk opens, after it closes and on weekends.

What would this setup cost a school district?
