Set up an urgency line in 5 steps

  1. Give each line its own mailbox

    Make one mailbox for the tech line and one for facilities. Callers who press the urgent option, or dial the urgent number, land there.

  2. Email each mailbox to your Welco address

  3. Make one rule per line

    Add an alert rule that matches the line name in the email, such as Facilities Urgency Line. Give it the facilities phones. Do the same for the tech line.

Running the line day to day

  • School hours and nights can differ

    The help desk may answer live during the school day. Set up after-hours urgent voicemail texts so the line texts only before and after hours and on weekends.

  • Change who covers in one place

What is an urgency line?

It is one phone number staff call when a problem can't wait for a ticket. Think of a dead network switch or no heat in a classroom. Outside staffed hours, callers leave a voicemail on it. With Welco, that voicemail reaches the person covering the line as a text.

What should callers say on an urgency line voicemail?

Ask for their name, building, room and a callback number, then the problem. Put that request in the greeting. The tech hears it from the link and can head straight to the right room.

Can the tech line and the facilities line text different people?

Yes. Both mailboxes can email the same Welco address. One rule matches the tech line and texts the tech on call. Another matches the facilities line and texts the facilities crew.

Is an urgency line text the same as an emergency alert?

No. An urgency line is for problems that need a fast fix, like a dead switch or a broken lock. Anyone who is hurt or in danger should call 911. Welco doesn't replace emergency services or alarm monitoring.

Who should be on the urgency line phone list?

Start with the person on call that week and one backup, such as the team lead. Keep the list short so a message has a clear owner. Each person replies YES once before Welco texts them, and anyone can reply STOP to leave.

Does a district pay per staff member on the urgency line?
