Voicemail to text for on-call staff, with a link to listen

Voicemail to text for on-call staff means an urgent message left at 9 PM is heard tonight, not at 8 AM. Their phone gets one text with the caller's number and a link that plays the message. Your phone system already emails new voicemails, so you add one address and keep your numbers.

A call from (555) 014-2290 rings Mailbox 5100; Phone system records a 1:12 voicemail and emails it with msg0007.wav attached. The email reaches Welco and the phone shows: “Welco: Urgent voicemail, Facilities line, from (555) 014-2290, 1:12. Listen: welco.ai/v/R4tm9Q Reply STOP to opt out.”

Animation: an alert email, "New urgent voicemail: Facilities After-Hours line", arrives at Welco and becomes one text to the on-call facilities tech: "Welco: Urgent voicemail, Facilities line, from (555) 014-2290, 1:12. Listen: welco.ai/v/R4tm9Q Reply STOP to opt out."

What the person on call gets from each voicemail

  • Hear it from the text

One tap plays the message in the phone's browser. Nobody dials in, types a PIN or opens a laptop.

  • Call back from the same screen

The caller's number sits in the text, so the call back starts right where the message was heard.

  • Texts only after hours

Daytime messages stay in email for the office. Texts start when the office closes, if that is what you want.

  • Personal cells stay private

Callers keep dialing your line. No one forwards the main number to a tech's own mobile or prints it on a greeting.

A leak reported to the maintenance line at 9:06 PM

Here is one evening for a property team that covers 6 buildings with one on-call tech and a supervisor.

  1. A resident leaves a message on the maintenance line

New voicemail on Maintenance line from (555) 014-8820, length 1:07, audio attached
  2. Welco checks the sender and the hour

The email came from your approved phone system. After 5 PM, the maintenance line goes to the on-call tech and the supervisor.

  3. Both phones buzz with the same message

Welco: Maintenance line voicemail from (555) 014-8820, 1:07. Listen: welco.ai/v/K7mb3D Reply STOP to opt out.
  4. The tech plays it in the browser

Water is coming through a kitchen ceiling in Building C. There was no voicemail menu to work through first.

  5. The tech calls the resident back

The number is right in the text. The tech asks the upstairs unit to close the valve under the sink and drives over.

  6. The office inbox still has the original email

The phone system emailed the office as usual, so the morning team sees every message from the night.

Times are an example. Text delivery depends on mobile networks. Welco texts every phone on the rule together and never places a call.

How do I send voicemail to the on-call phone as a text?

Point the voicemail email your phone system already sends at your Welco address, then choose who hears it. You keep your phone system and your numbers. Welco sits on the email side only.

  1. Sign up and verify your business

Use your work email to sign up, then book a short intro call. Every sender passes the same business check before its first text.

  2. Invite the people who cover the line

Each person joins with their own mobile and replies YES to one text. Then use time-based on-call routing to pick who hears which line, and at what hours.

  3. Send the voicemail email to your Welco address

In your phone system, add your Welco address to the urgent mailbox and keep the audio attached. Approve it as an allowed voicemail sender so only your phone system can text your team.

Urgent voicemail before and after Welco

The voicemail the old way

The voicemail with Welco

  • The on-call phone gets the line, the caller and the length in one text.
  • A tap plays the recording, so the tech knows how bad it is before calling back.
  • Callers dial the same line, and only the urgent mailbox reaches a phone.
  • Texts come from a verified, alerts-only number instead of a carrier email-to-text path.

Decide which voicemails should become texts

Not every message needs to wake someone up. A few choices up front keep the on-call phone quiet until it matters.

Text one mailbox, not the whole phone system

Most teams start with a single urgent mailbox. The main line and personal mailboxes keep emailing as before. An alert rule can also text only emails marked urgent.

Text only when the office is closed

During the day, someone is at a desk to pick up voicemail. A time window sends texts on weeknights and weekends only. See how after-hours voicemail for on-call staff is set up.

Send different lines to different people

A district might run a tech line and a facilities line. Each mailbox can text its own crew. The tech lead never gets a call about a boiler, and the plant manager never hears about a password.

Keep a backup on the list

Put a second person on the urgent mailbox if one could be out of reach. With several phones per message, both get the same text and their own link. Welco does not call or chase anyone, so agree who answers first.

Know when a text didn't land

Every voicemail email and every text shows in your Welco feed. If a text fails, delivery reports give the reason in plain English, such as a phone that is off.

Teams that send voicemail to the on-call phone

All of them run a line people call when something is wrong, and one person needs to hear it soon.

Frequently asked questions

Do I need a new phone system to get voicemail texts?

No. Keep the phone system you have, such as 3CX voicemail to SMS, FreePBX voicemail to SMS or Grasshopper voicemail text. If it can email a new voicemail to an address, it can send that email to your Welco address. Welco turns each email into a short text for the people you choose.

How long does setup take, and who on our team does it?

Whoever looks after the phone system can usually do it in about 15 minutes. They add one email address to the urgent mailbox and approve that sender in Welco. Staff then join from an invite on their own phones.

Can the on-call person hear the message without calling in?

Yes, when the voicemail email has the audio file attached. Welco puts a private link in the text. Tapping it plays the message in the phone's browser, with no app and no login.

Does Welco transcribe the voicemail into words?

No. Welco sends the caller's number, the length and a link that plays the recording. If your phone system writes its own transcript into the email, that wording can come through too, trimmed to fit one text. Hearing the caller's voice is often what tells the tech how urgent it is.

What happens to the voicemail emails we get today?

They keep coming. Where your system allows a second address, Welco is one more recipient and the office inbox is untouched. The phone system also keeps its own copy, which matters once a link expires.

Can a stranger use Welco to text my on-call staff?

No. Only the senders you approve can trigger a text, and mail from any other address is refused. Each staff member also confirmed their own phone with a YES reply and can reply STOP at any time.

Can the on-call person reply to a voicemail text?

They can, and Welco emails the reply to the address that sent the voicemail email. Replies use message credits like any text. A no-reply mailbox on the phone system won't read it, so call back the number in the text instead.

What does a voicemail text cost?

You pay for the texts in message credits, not for each person on the list. A voicemail notice with a link fits in one text, so it uses one credit for each phone. The free trial runs 7 days with 15 credits, and no plan charges overage. See Welco pricing for the plans.
