Times are an example. Text delivery depends on mobile networks. A reply does not mark the voicemail as heard in Nextiva.

What you need before setup

Both systems email a new voicemail, and that email is all voicemail to text alerts need. Welco handles the direct path and the Outlook path, so pick the one your admin allows.

  • Admin access to your Nextiva or Cytracom account, or to the Outlook mailbox that gets the voicemails.
  • A Welco account with your business verified. Start free to get your Welco address.

Set up Nextiva or Cytracom voicemail texts

Do step 1 or step 2 for Nextiva, step 3 for Cytracom, then finish with steps 4 and 5.

  1. Nextiva, direct: send the voicemail email to Welco

    In Nextiva, open the voicemail settings for the user or mailbox. Turn on voicemail to email with the audio attached. Enter your Welco address as the email.

  2. Nextiva, through Outlook: add a forwarding rule

    In the mailbox that gets Nextiva voicemails, make a rule. When mail comes from voicemail@nextiva.com, forward it to your Welco address. Your Microsoft 365 admin may need to allow forwarding to outside addresses.

  3. Cytracom: add Welco to the mailbox

    In the Cytracom portal, open the mailbox's voicemail email settings. Add your Welco address and keep the recording attached.

  4. Approve the sender Welco sees

    Leave a test message and check the Welco feed. A direct email shows the phone company's address. A forwarded one shows your Outlook mailbox. Add that address to your approved sender addresses.

  5. Invite staff, set hours and test

    Invite the on-call staff to join from their own phones, and set up after-hours voicemail texting if days should stay in email. Leave one more test and play the link.

A Cytracom mailbox message as a text

Cytracom's email gives the message length and the mailbox number. Welco keeps both, adds the caller and swaps the recording for a link.

Tips for forwarded and hosted voicemail

  • Outlook clutter is cut away

    A forwarded email starts with a block of From, Sent, To and Subject lines. Welco trims that block, so the text starts with the voicemail itself.

  • Avoid two texts for one voicemail

    If Nextiva emails Welco directly and an Outlook rule also forwards it, you get the message twice. The two emails look different, so pick one path and turn the other off.

  • Different mailboxes, different crews

    An alert rule can match the mailbox name or number in the email. The IT mailbox texts IT, and the facilities mailbox texts the building crew.

Frequently asked questions

Why does my Nextiva voicemail show my own email address in Welco?

Because Outlook forwarded it. A forwarded email comes from the mailbox that forwarded it, not from Nextiva. Approve that mailbox address in Welco, and the forwarded voicemails become texts.

Does Microsoft 365 block forwarding Nextiva voicemails to Welco?

It can. Many Microsoft 365 tenants block automatic forwarding to outside addresses by default. Your admin can allow it for that one mailbox, or you can set Nextiva to email Welco directly instead.

Will the Outlook forward header end up in the text?

No. Welco recognizes the block of From, Sent, To and Subject lines that Outlook adds when it forwards. That block is trimmed, so the text starts with the voicemail details.

Can Cytracom and Nextiva mailboxes text different people?

Yes. Both can email the same Welco address. Add a rule for each mailbox that matches its name or number, and give each rule its own phones and hours.

What if Cytracom only sends a short notice without the recording?

Welco still texts the notice, so the on-call person knows a message is waiting. There is no link to play. Turn on the audio attachment for that mailbox to get the link next time.

Do we pay per Nextiva or Cytracom user to get voicemail texts?

Where does a reply to a Nextiva voicemail text go?

It goes by email to the last sender that texted that phone, and it uses message credits. On the Outlook path, that is your own forwarding mailbox, so the team sees it. On the direct path it goes to the phone company's address, so call the caller back instead.
