Help desks name these settings differently. Look for notifications, triggers, rules, automations or workflows.
Write down what counts as urgent
Agree on it with the team. Priority Urgent or High, a network or safety category, and VIP requesters are common choices. A password reset is not.
Have the help desk email Welco for those tickets
Add a trigger or automation that sends a notification email to your Welco address when a ticket matches. If your help desk only emails agents, some teams add a notification-only contact instead.
- Put the priority and a short title in the email subject. That is what ends up on the phone.
- If ticket notices only reach a shared mailbox, use Outlook forwarding to SMS or Google Group alert texts instead.
Approve the help desk's sender
Check the From address on a ticket notice and add it to your Welco sender list to block mail from unknown senders. Then the help desk can trigger texts and nothing else can.

Why routine tickets should stay off the phone
Here is an ordinary ticket notice. Without a filter, it becomes a text like any other. That is why the urgent rule matters.
