  • A Google Group that receives the alerts, and owner or manager rights on it.
  • Workspace settings that let groups add members from outside your domain. A Workspace admin can check this.
  • A verified Welco account. Once you start free, your Welco address is ready to add.

Send Google Groups email to text in 5 steps

This path adds Welco as a group member. If your alerts go to one Gmail inbox instead, see the Gmail forwarding section below.

  1. Allow outside members on the group

    In the group's settings, allow members from outside your organization. If the option is grayed out, a Workspace admin must first let group owners allow external members in the Admin console.

  2. Add your Welco address as a member

    Open the group's members page and add your Welco address directly. Set its subscription to Each email, not a digest, so every alert arrives on its own.

  3. Approve the group as a sender

    Google Groups often sends posts from the group's own address, so the group becomes the sender Welco sees. Add it to your Welco list of trusted sender addresses, plus each system's address for posts that keep their original sender.

  4. Trim the group footer

    Every group post ends with an unsubscribe footer. Add a trim rule in Welco that cuts everything from You received this message onward, so the footer never reaches a phone.

  5. Post a test alert

    Send a short test email to the group from an approved system, or trigger one real alarm. Try alerts with no texts sent to see the text in the feed before any phone gets it.

Forward from Gmail instead of a group

If the alerts land in one Gmail or Workspace inbox, a Gmail filter can forward them. Gmail asks you to confirm the forwarding address first. On Microsoft 365, an Outlook forwarding rule to text does the same job.

Add the forwarding address

In Gmail settings, open the forwarding section and add your Welco address. Gmail emails a confirmation code to that address. Welco recognizes this email, keeps it out of the word filter and passes it on once, so you can enter the code.

Create a filter for the alerts

Search for the alert sender, then create a filter that forwards matching mail to your Welco address. Forwarded mail comes from the Gmail inbox, so approve that inbox's address in Welco.

Check the admin setting

Workspace admins can turn off automatic forwarding for users. If Gmail won't let you add a forwarding address, ask your admin to allow it for this account.

A group passes on everything it receives. These choices decide what becomes a text.

  • Hours decide the phone

    To send group alerts to different phones at night, route group alerts by hour.

  • Cleared alarms stay in email

    A word rule can drop posts that say cleared, normal or resolved, so only the problem texts.

  • A burst of posts

    When one fault makes a system post a dozen times, Welco's flood limits cap what each phone receives.

  • Send to the group only

    If a system emails the group and a person as well, Welco may get two copies with different message IDs.

Frequently asked questions

Which address do I approve when alerts come through a Google Group?

Approve the group's address, because Google Groups often rewrites the sender to the group when it passes mail on. Also approve each system's own address, since some posts keep the original sender. If a text is refused, the Welco feed shows the address it saw.

What happens to Gmail's forwarding confirmation email?

Welco recognizes it. The confirmation isn't treated as an alert, isn't held by the word filter and is passed on only once, even if Gmail sends it again. Use the code inside to confirm the forwarding address, then create your filter.

Can different group alerts go to different phones?

Yes. Welco alert rules read the subject, including the group's prefix in square brackets, such as [farm-alarms] or [it-alerts]. Each rule picks the phones for that group. One Welco address can join several groups, and each alert still reaches each phone once.

Can an outside address like Welco be a Google Group member?

Yes, if the group allows members from outside your organization. On Google Workspace, an admin decides whether group owners may allow that. Once it's allowed, add your Welco address directly as a member with the Each email subscription.

Will the unsubscribe footer end up in the text?

Not if you add a trim rule. Google Groups adds a footer to every post that says how to unsubscribe. A Welco rule that cuts everything after You received this message removes it, which also keeps most group alerts to one credit.

Where does a reply to a group alert text go?

Replies travel by email to whoever last sent the alert. With a group, that is often the group address, so the reply may post to every member. It does not clear or acknowledge anything in the system that raised the alarm.
